Release 400.021.000

For Release 400.021.000 of maxflow® Invoice Management, which we released in June 2026, we implemented various minor changes and corrections in addition to the following features.

Follow-up – Better Overview, Greater Control

The "Resubmit" feature allows you to set documents aside for a specified period of time, for example, if information is still missing. To ensure these documents aren't forgotten, they are now also included in the regular informational email. This reliably reminds processors of all pending tasks.

Inthe maxflow® Invoice Management Monitor, the date and time of resubmission are now directly visible and can be used as filter criteria. This makes it possible to see at a glance which documents have been rescheduled and until when. If necessary, the resubmission process can also be terminated early.

In addition, access to the resubmission feature can now be specifically controlled using a dedicated permission. A help function is available to assist in adjusting existing roles accordingly.

General Ledger Documents—More Flexible and Easier to Understand

The workflow-based processing of general ledger documents using maxflow® Invoice Management G/L has been further enhanced. The description of the business transaction can now be configured as a required field, ensuring that every document enters the process with a clear justification. If necessary, data entry can be canceled, and the posting can be continued in the SAP entry dialog.

The labels for general ledger documents—such as “General Ledger Document” instead of “Invoice/Credit Memo”—can now be maintained centrally and customized to match your own terminology. The header data now displays only the information that is actually relevant, and supplier-specific fields are automatically hidden. The form for general ledger documents also uses gender-neutral language throughout.

Greater Transparency Regarding Assignments and Substitutions

In the Monitor's inbox, each user can see their own tasks as well as tasks from active substitutions. With the new "My Documents" filter, users can now choose to display only the tasks that fall directly within their area of responsibility.

In the " substitution care " (List of Authorized Representatives), representatives who have since been suspended or whose authorization is no longer valid are clearly marked. This makes it immediately apparent whether a designated representative can actually fulfill their duties.

Correspondence at a Glance

Using the integrated correspondence feature, users can communicate directly with suppliers and other parties fromwithin maxflow® Invoice Management. An icon in the monitor now indicates whether correspondence already exists for a document. A single click is all it takes to list and open all related messages—ensuring that follow-up inquiries and coordination remain traceable at all times.

The selection of recipients has also been improved: If no contacts—or only incomplete contacts—are stored in the supplier master, the user receives a corresponding notification.

... and Much More

In addition to these highlights, the new version includes numerous minor improvements and fixes. In this way, we are continuously enhancing maxflow® Invoice Management and will continue to provide our customers with a system solution for the efficient processing of incoming invoices in the SAP environment.
